How to organise an office Secret Santa
A good office gift exchange makes room for a small surprise without making anyone feel obliged to spend. Agree on the practical details before drawing names, especially when some of your colleagues work remotely.
Invite people without pressure
Send an invitation to the whole team and make participation optional. Nobody should need to explain why they are sitting out. Set a joining deadline and include colleagues who are on leave or work from another location.
Create a Snowdraw group and share its invitation link in your team chat. Participants enter their own names; the organiser checks the list before starting the draw. Groups need between 3 and 100 participants. Keep the invitation within the participating team.
Agree on one comfortable budget
Ask what people can comfortably spend rather than setting the budget around the most enthusiastic shopper. A $20 limit might suit one team and feel excessive to another. State whether wrapping, tax and postage are included.
Avoid increasing the limit once shopping has started. If the group chooses a range, make it clear that spending near the lower end is fine. The point is a thoughtful exchange, not a competition over price.
Make gift boundaries explicit
Tea, coffee, a notebook, a desk accessory or a small game can be useful starting points. Check dietary needs before buying food. Clothing sizes, fragrance and personal care products depend more heavily on individual preferences.
Skip jokes about someone's appearance, salary, beliefs or private life. Let participants share a few interests in the team chat if they want to; keep that optional too. Someone who joined last week should have enough information to choose without guessing personal details.
Draw names and plan the exchange
On Snowdraw, each person opens only their own result. Even the organiser does not receive a list of pairings. Nobody draws themselves and there are no reciprocal two-person swaps. Excluding partners or particular colleagues is not currently supported.
Choose a delivery arrangement for anyone absent on exchange day. Finalise the list before drawing: adding someone later requires cancelling and repeating the draw, which changes everyone's result. Ask people to save their personal links so they can return to their cards.
